How to Set Up Your Task Templates with Durations in PSOhub

Learn how to set task durations in plan templates and how dates are automatically calculated when a template is applied to a project, quote, or plan

Objective

This article explains how to define Start Date, Duration, and Due Date for tasks in a plan template, and how those dates are automatically scheduled relative to the Target Start Date when the template is applied to a project, quote, or plan.

Prerequisites

You must have Admin or Project Manager access in PSOhub.

A task template with task lists and tasks must already exist in PSOhub.

How Dates Work in Task Templates

When a task template is applied to a project or quote, PSOhub calculates all task dates relative to the Target Start Date of that project or quote. The template itself uses fixed calendar dates as placeholders — these are not the actual dates that appear on the project, but rather a way of defining the offset between tasks.

Day 1 in the template = the Target Start Date of the project

Day 1 in the template is January 1st of the current year. Any task set to start on January 1st will begin on the Target Start Date when the template is applied. Tasks set to start on later dates are offset accordingly.

Example — task starting on the Target Start Date:

Example — task starting 4 days after the Target Start Date:

How to Set Up Durations in Your Plan Template

Steps

  1. Open the plan template in Settings > Templates > Task.
  2. Click into the Start Date or Due Date field for a task to set its values. The three date fields work as follows:
Field Description
Start Date Defines when the task begins relative to the Target Start Date. Set this relative to Day 1 (January 1st) to control the offset.
Due Date Defines when the task is expected to conclude. If Due Date is set first, PSOhub calculates Duration automatically.
       3.    Work through each task in the template, setting Start Date and Due Date relative to the first                 task.

 

📌 Note: As you enter dates and durations, the Effort column is automatically calculated            based on an 8-hour working day. For example, a Duration of 2 days results in an Effort          of 16 hours. You can overwrite the Effort value by typing directly in the field.

📌 Note: If you defined a task's effort before setting Start and Due dates, the effort value            will not change when dates are added. A shorter or longer duration does not                                automatically update effort, as these represent different aspects of the work.

How to Apply Your Task Template to a Project

New project:

  1. During project creation, select the Contract Template linked to your plan template.
  2. Once selected, the Task Template dropdown appears — select the relevant plan template.
  3. Set the Target Start Date for the project.

Existing project:

  1. Open the project and navigate to the Tasks tab.
  2. Click the ellipsis (...) and select Import template.
  3. Select your plan template from the dropdown.
  4. Set the Target Start Date to define when task scheduling begins.

How to Apply Your Task Template to a Quote

New quote:

  1. Select the Contract Template linked to your plan template.
  2. Once selected, the Task Template dropdown appears — select the relevant plan template.
  3. Set the Target Start Date for the quote.

Existing quote:

  1. Open the quote and navigate to the Tasks tab.
  2. Click the ellipsis (...) and select Import template
  3. Select your plan template from the dropdown.
  4. Set the Target Start Date to define when task scheduling begins.

💡 Tip: If a quote is later converted into a project, PSOhub automatically shifts all task                  dates based on the Target Start Date of the project.

Applying Multiple Task Templates

When the first task template is applied to a project or quote, the Target Start Date field is available to set. This determines how PSOhub schedules the tasks.

If a task template already exists on the project or quote, the Target Start Date field is no longer accessible. Additional templates automatically inherit the same start date as the first template applied.

📌 Note: The Target Start Date can only be set when applying the first task template.                  Plan carefully before applying multiple templates to ensure the shared start date                      works for all task lists.

Result

All tasks in the applied task template are scheduled relative to the Target Start Date, maintaining the structure and offsets defined in the template. When a quote with a plan template is converted to a project, task dates are automatically recalculated based on the new Target Start Date.
