How to Create a Project from a Deal in HubSpot

Learn how to promote a HubSpot deal to a PSOhub project directly from the HubSpot deal panel

Objective

This article explains how to create a PSOhub project from a deal in HubSpot. You will promote the deal from the HubSpot deal panel and complete the project setup using Quick Start in PSOhub.

Prerequisites

You must have Admin, Controller, or Project Manager access in PSOhub.

The HubSpot integration must be connected and active in PSOhub.

A deal must already exist in HubSpot.

Steps

Create the project from HubSpot

  1. Open HubSpot and navigate to the deal you want to promote.
  2. In the right panel, locate the PSOhub section.
  3. Click Create project - A confirmation message appears. The PSOhub section updates to display a link to the new project.
  4. Click the deep link to open the project in PSOhub.

📌 Note: PSOhub automatically generates a project number and imports the following information from the deal: Name, Description, Currency, and Deal Amount.

Complete setup using Quick Start

  1. Click Quick Start in the middle panel to complete the three-step project setup.

  2. Step 1: Identify the project - Review and complete the identification fields, then click Next.

  3. Step 2: Set up the contract - Select a contract template to define the structure for budgeting, time and expense booking, and invoicing, then click Next.

  4. Step 3: Add team members - Use Filter on Business Unit to filter the user list by business unit.

  5. Select the users you want to assign from the Resources list.

  6. Click Add to team.

  7. Review the Project members list. Each member displays their default role and rate. Click a member's name to update their role or rate.

  8. Click Create.

Result

The HubSpot deal is promoted to a PSOhub project. Company and contact data from HubSpot carries over automatically. The project is structured with a contract and a team, and is ready for time and expense entry and invoicing.

Existing records in HubSpot, such as the deal, are not affected by creating the project.

Troubleshooting

The PSOhub section does not appear in the HubSpot deal panel.
The HubSpot integration may not be installed or active. Ask your Admin to verify the connection in PSOhub under Settings > Integrations > HubSpot.

The deal currency is incorrect in the PSOhub project.
Currency is imported at the moment the project is created. If the deal currency was wrong in HubSpot, correct it there first, then recreate the project — or edit the currency manually in the project's left panel.

A team member does not appear in the Resources list in Step 3.
The user may belong to a different business unit. Use the Filter on Business Unit field to search across units.

Yes. You can promote a HubSpot deal to a PSOhub project at any pipeline stage.

What information is imported from HubSpot when I create the project?
PSOhub imports the deal Name, Description, Currency, and Deal Amount. It also brings over the associated company and all contacts linked to that company in HubSpot.

Can I link an existing PSOhub project to a HubSpot deal after creation?
This requires specific configuration. Contact your Admin or refer to the HubSpot integration settings article.
