How to Create a PSOhub Project from a Company in HubSpot

Create a PSOhub project directly from a HubSpot company record in a few simple steps

Objective

This article explains how to create a project in PSOhub directly from a company record in HubSpot. Use this method when your work originates from a company relationship rather than a specific deal.

Prerequisites

You must have Admin, Controller, or Project Manager access in PSOhub.

The HubSpot integration must be active and connected to your PSOhub account.

The company record must exist in HubSpot before you begin.

The company name must not contain any commas or apostrophes.

⚠️ Important: Do not use commas or apostrophes in the company name — or in the                      names of any related contacts. These characters can prevent invoices from syncing                correctly if you use PSOhub with accounting software.

Steps

  1. Open the company record in HubSpot.
  2. Scroll down to the PSOhub section in the right panel.
  3. Click Create Project.
  4. A confirmation message appears when the project is created successfully. The PSOhub section updates to display a link to the new project.
  5. Click the project link to open it in PSOhub.
  6. Review the project details. The project is pre-named using the company name. No deal amount is set by default — you can add one by clicking the ellipsis (...) button and selecting Edit.

📌 Note: The related company is automatically carried over into PSOhub. Associated                    contacts are also created in PSOhub, but they are not linked at the project level. You                need to assign the relevant contact(s) to the project manually, as PSOhub cannot                      determine which contacts apply to this project.

        7.    Use the project panels to complete your setup:
    • Left panel — configure general project settings, including invoice detail level and project manager.
    • Middle panel — define your contract, budget, team, tasks, and planning.
    • Right panel — view and access linked records such as company, contacts, activity feed, and documents.
        8.    Set the project to Active when you are ready to begin work. New projects default to the                             Proposal stage, which prevents time and expense booking and invoicing.

⚠️ Important: Until the project is set to Active, resources cannot log time or expenses                  against it, and it will not appear in the timesheet or expense entry screens.

Result

Your project is created in PSOhub and linked to the HubSpot company. Once set to Active, resources can begin booking time and expenses, and the project is available for invoicing.

As the project progresses, the middle panel displays project activity in chronological order, with the most recent activity at the top.

Troubleshooting

The Create Project button does not appear in HubSpot.
Confirm that the PSOhub integration is active. Go to your HubSpot integration settings and verify the connection. If the integration is connected but the button is still missing, contact your PSOhub administrator.

The project link takes me to the PSOhub login page.
Log in to PSOhub and navigate to Projects to find the newly created project.

The company name contains a comma or apostrophe.
Update the company name in HubSpot to remove the character before creating the project. Failing to do so may cause invoicing errors if you use PSOhub with accounting software.

Contacts are not visible at the project level.
This is expected. PSOhub imports contacts linked to the company but cannot determine which ones apply to the project. Assign the relevant contacts manually from the project record.

Frequently Asked Questions

Can I create a project from a company if a deal already exists in HubSpot?
Yes. Creating a project from a company is independent of any deals. Both methods can be used — projects created from deals and from companies will both appear in the PSOhub section of the company record.

Why is no deal amount set when I create a project from a company?
Projects created from a company do not inherit a deal amount, since there is no associated deal. You can add the amount manually by editing the project.

Can I set up the contract and tasks before setting the project to Active?
Yes. You can configure the contract, budget, team, and tasks while the project is still in the Proposal stage. Setting it to Active when you are ready allows your team to start booking time and expenses.
