How to Create a Quote in PSOhub From a HubSpot Deal

Objective
This article explains how to create a HubSpot quote from within PSOhub by searching for and selecting an existing HubSpot deal. Use this method when you are already working in PSOhub and want to link a new quote to a deal.
Prerequisites
You have Admin, Controller, Project Manager, or Sales Rep access in PSOhub
The PSOhub integration is connected to your HubSpot account
The deal you want to quote from already exists in HubSpot
Steps
- Navigate to Quotes in the main menu.
- Click Create.
- In the window that appears, click the HubSpot tile.
- In the search field, enter the name of the deal and click Search.
💡 Tip: You can enter the first few characters of the deal name — an exact match is not required.
5. In the search results, select the deal you want to create a quote from.
6. Complete the Step 1: Let's start with your quote! fields, and click Next Step.
7. In Step 2: Settings, complete the relevant fields, and click Next Step.
8. In Step 3: Team & Rates, assign team members if they are known, or click Create Quote to skip this step.
9. Once the quote has been created, click Close.
Result
The quote is created in PSOhub and linked to the selected HubSpot deal. Company and contact details from the deal are pre-populated. You can now configure the contract, budget, and team from within the quote.
Troubleshooting
The HubSpot tile is not visible in the Create window
The PSOhub–HubSpot integration may not be active. Contact your PSOhub Admin to verify the integration is connected under Global Settings > Integrations.
The deal does not appear in search results
Check that the deal exists in HubSpot and that the integration sync is up to date. Try searching with fewer characters. If the deal was recently created in HubSpot, wait a few minutes for the sync to complete and try again.
The company or contact is not pre-populated after creating the quote
Company and contact details are carried over from the HubSpot deal at the time of creation. Check that the deal in HubSpot has a company and contact assigned. If they are missing, you can add them manually from within the quote in PSOhub.
The Sales rep field is empty or the expected user is not listed
Only active PSOhub users can be selected as a sales rep. If the user is not listed, ask your Admin to check that their PSOhub account is active.
FAQs
Can I link a quote to a HubSpot deal after the quote has already been created?
No. The HubSpot deal must be selected during the Quick Setup process. If the quote was created without linking a deal, you will need to create a new quote and select the deal at that point.
Can I create more than one quote from the same HubSpot deal?
Yes. You can create multiple quotes linked to the same deal. Each quote is managed independently in PSOhub.
What happens to the quote if the HubSpot deal is updated after creation?
Changes made to the deal in HubSpot after the quote is created are not automatically reflected in PSOhub. Update the quote manually if the deal details change.
Can I skip the contract template in Step 1 and set it up later?
Ideally, a contract template should be selected during Quick Setup. If no suitable template exists, contact your Admin to create one under Global Settings > Templates. Alternatively, you can manually create the project's financial structure by adding contract groups and contract lines manually, directly in the quote.
