How to Preview and Publish a Quote in PSOhub
Learn how to finalize, preview and publish a PSOhub quote as a PDF or shareable link for digital signing

Objective
This article explains how to preview and publish a quote in PSOhub. This includes how to configure quote contract lines, add a footer, select appendices, and share the quote with your customer as a PDF or digital link.

Step 1: General
- Open the quote in PSOhub and navigate to the Financials tab.
- Click Preview and Publish. The Publish Quote page opens with a 4-step process to finalize the quote.
- Make sure the fields in Step 1: General are complete, including optional Comments that will appear on the preview in the right-hand pane.

Field Description Date and Expiration date The start and expiration dates of the quote. Once a submitted quote has expired, it becomes read-only with no option to sign or decline. Created By and Email The Sales rep and their email address. These fields are mandatory for the quote to be published. Customer and Contact The customer name is shown and cannot be edited. Select the quote contact at the customer if not already set. PO number The purchase order number, if known. Project estimated start date The estimated project start date. Add comments (optional) Additional text to appear in the header. Default comment text can be configured in Quote settings. - Click Next.
💡Tip: Set up default Comments for your PSOhub quotes by going to Global Settings > Quote Settings.
Step 2: Lines
- Review the contract lines displayed in Step 2: Lines. Make changes to the contract lines by clicking on them and editing them individually as needed. Changes are reflected in the preview on the right-hand side.
- Click Next.
📌 Note: Budget values are not displayed in the quote by default. To show a budget estimate to you customer on the contract line, click the contract line. In the right-hand pane, toggle ON Show estimate on quote. Click Save.
Step 3: Footer
- Enter the text you want to appear at the bottom of the quote (commonly terms and conditions).
- Click Next.
💡 Tip: Default footer text can be configured by going to Global Settings > Quote Settings.
Step 4: Appendix
- Select the relevant appendices to include within the quote by toggling ON the following: Teams and Rates, Plan, Timeline, Budget Planning and Files.
- Click Preview and Publish. The complete quote is ready for final review.
⚠️ Important: Any resources included in the Teams and Rates Appendix will be visible to the customer and may be perceived as confirmed project resources. Only include team members you are comfortable sharing at this stage.
Step 5: Publish the Quote as a PDF or a Link
You now clearly see what your customer sees with this final quote preview. Choose how you want to share the quote with your customer, as a PDF or a link.
Option 1: Publish your PSOhub quote as a PDF

Use this option when your customer requires a document, for example: for a bid, tender or RFP portal submission.

Click Preview PDF to review the quote before publishing. Your browser opens a PDF preview in a new tab. When you are satisfied, close the tab and return to PSOhub.
- Click Publish as PDF.
- Click Proceed. This will generate the quote as a PDF and change the stage to Submitted. You are now redirected to the Quote page.
- Click the ellipses button next to +Add Group on the quote Financials tab. Select Share Quote from the drop-down menu.
- Enter the email address of your customer. Click Send.
📌 Note: When sharing a quote as a PDF, the Plan and Gantt chart are not interactive. To allow your customer to interact with the Plan and Gantt chart, use the Publish as Link option instead.
Option 2: Publish your PSOhub quote as link
⚠️ Important: The shared web link is not currently supported on mobile devices.

Use this option to send your customer a link to view and digitally sign the quote online.
- Click Publish as link. A confirmation dialog box appears showing that the quote has been published and a web page has been created.
- Click Copy to copy the quote link.
- Click Close.
- To test the link, open a private browser window and paste the link.
The quote will display for you to review. - Once the quote is ready, paste the copied link into an email and send it to your customer.
📌 Note: The published quote is read-only for your customer. Only the sales rep or a user with the eligible access level can edit the quote.
Result
The quote is published and shared with your customer. The quote status in PSOhub updates to Submitted. If published as a PDF, the document can be emailed and downloaded. If published as a link, the customer can view and digitally sign the quote online. The quote link remains active until the specified expiration date.
