Introduction
A proposal or Statement of Work (SOW) in PSOhub is a formal document you send to a customer before work begins. It defines the scope, commercial structure, team, and tasks that will make up the project — all in one place.
When your customer signs the quote, PSOhub automatically converts it into a live project. Everything you defined in the quote — the contract, budget, team members, and tasks — carries across. There is no need to rebuild the project from scratch.
This makes the quote the single most important step in setting up a project correctly. Time spent structuring a quote well is time saved during delivery.
How Quotes Fit Into the PSOhub Workflow
A PSOhub quote sits at the beginning of your project lifecycle. It connects your sales process to your delivery process.
You can create a quote in two ways:
- Directly in PSOhub — without a CRM deal or opportunity
- From a CRM deal — by linking to an opportunity in HubSpot, Salesforce, or Microsoft Dynamics 365
Build Your Quote in Five Steps
Every PSOhub quote follows a five-step creation process. You work through these steps to build a complete proposal.
Step 1: Identify your sales rep and project manager
Assign the people responsible for closing the deal and delivering the work.
Step 2: Define your contract
Set up the commercial structure of the quote. This includes the contract lines, billing types (such as fixed fee or time and materials), and the overall budget.
Step 3: Select your roles or resources and define your rates
Add the people or roles who will work on this project and confirm their billing rates. This step is optional but recommended if you want the quote to reflect accurate costs and margins.
Step 4: Set up your budget
Define how hours and costs are distributed across the project. This step is optional but supports more accurate financial tracking once the project begins.
Step 5: Create your project's tasks
Add a task plan to the quote. This is optional, but it allows the project to start with a structured plan already in place from day one.
Publish and Send Your Quote
Once you have completed the five steps, you publish the quote to make it ready for the customer. Publishing is a separate step from sending — it prepares the quote for distribution but does not automatically deliver it.
When you publish a quote, PSOhub gives you two options:
- Shareable link — a unique URL is generated that allows the customer to view and digitally sign the quote online
- PDF download — a formatted PDF version of the quote is generated, which you can download and send to the customer manually via email or from your CRM
From Signed Quote to Live Project
Once your customer digitally signs the quote, PSOhub automatically creates a project. All of the information from the quote — contract structure, team members, budget, and tasks — transfers directly to the new project.
From that point, the project is used to track time and expenses and to generate invoices. You do not need to set anything up again.
💡 Tip: The signed quote becomes the record of what was agreed. You can always refer back to it from within the project.
Quote Stages Explained
A quote moves through the following stages during its lifecycle:
