How to Create a PSOhub Project from a Contact in HubSpot

Objective

This article explains how to create a PSOhub project from a contact in HubSpot. Use this method when a project originates from a contact rather than a deal.

Prerequisites

 You must have Admin, Controller, or Project Manager access in PSOhub.

 The HubSpot integration must be active and configured.

 The contact must have a company assigned in HubSpot.

⚠️ Important: The contact name and company name must not contain commas or                        apostrophes. These characters can prevent invoices from syncing correctly with your              financial software.

Steps

  1. Open the contact record in HubSpot.
  2. Scroll down to the PSOhub section in the right panel.
  3. Click Create Project.
  4. A confirmation message appears when the project has been created successfully.
  5. Click the project link in the PSOhub section to open the project.
  6. Review and configure the project using the three panels:
    • Left panel — General settings including invoice detail level, smart invoice behavior, and project manager assignment. Click the ellipsis (…) button and select Edit to update these fields.
    • Middle panel — The main workspace where you define the contract, budget, team, tasks, and planning. Attach files here as needed.
    • Right panel — Related records including company, contacts, hours, and documents.

      Result

      The project is now created in PSOhub. The contact and company from HubSpot are automatically linked to the project, and all contacts associated with the company in HubSpot are also brought across. Your team can begin logging time and expenses, and you can proceed with invoicing fixed fees.

      📌 Note: Because the project was created from a HubSpot contact, the company name is            automatically included in the project name. No deal amount is set by default — update          this in the project settings if needed.

      Troubleshooting

      The Create Project button is not visible in HubSpot
      Confirm that the PSOhub integration is installed and active in your HubSpot account. Check with your Admin if the PSOhub section does not appear on the contact record.

      The project link does not open in PSOhub
      Log in to PSOhub first, then return to HubSpot and click the link again. Alternatively, navigate directly to Projects in PSOhub and search for the project by name.

      The project was created but the contact or company is missing
      Verify that the contact in HubSpot has a company assigned before creating the project. A company must be defined for the integration to carry over the relationship correctly.

      Frequently Asked Questions

      Can I create a project from a contact without a deal in HubSpot?
      Yes. Creating a project from a contact does not require an associated deal. No deal amount is set automatically in this case, but you can add one manually in the project settings.

      Will all HubSpot contacts linked to the company be added to the project?
      PSOhub brings over the selected contact and all other contacts in HubSpot associated with the same company.

      Can I change the project stage back to Proposal after setting it to Active?
      Yes. You can update the project stage at any time from the project settings.
