Objective

This article explains what a Product contract line is in PSOhub, how it is structured, and how it fits into the financial management of a project contract.

Introduction

A Product contract line in PSOhub represents an individual product included in a project contract. Each line defines what is being delivered, how it is priced, and how it contributes to the overall financial structure of the project.

Product contract lines connect your contract to your Price List, ensuring consistent pricing, cost tracking, and profitability reporting across all projects.

📌 Note: Product contract lines cannot be used for time booking. Expenses can be                          recorded against them.

How a Product Contract Line Fits Into Your contract

In PSOhub, a contract is made up of contract groups and contract lines. Each contract line defines a specific component of the work or delivery — such as a service, a subscription, or a physical product.

When you select Product as the billing type for a contract line, PSOhub connects that line to your configured Price List. This allows you to select a product with predefined pricing, apply a quantity, and let PSOhub calculate the total amount, margin, and budget values automatically.

This structure gives you full visibility into what has been agreed, what it costs internally, and how it contributes to the project's profitability.

Components of a Product Contract Line

A Product contract line is organized as follows:

Field Description
Price List The price list linked to this contract line. Only price lists configured by an Admin are available.
Product The product selected from the chosen price list. Only products linked to a price list are available.
Line Name The display name of the contract line.
Description Optional additional detail about what the product includes.
Quantity The number of units included in this contract line.
Price per unit The amount charged to the customer per unit. Used to calculate the total line amount.
Cost per unit The internal cost to deliver one unit. Used to calculate margin and profitability.
Amount Calculated automatically: Quantity × Price per unit.
Sales Budget The expected revenue for this product line.
Budget Costs The expected internal costs for delivering this product.
Budget Used Alert A percentage threshold that triggers a notification in the project Activity feed when expenses booked against this line reach the defined level.
Actual Margin Alert A percentage threshold that triggers a notification when the actual margin on this line falls below the defined level.

Identification

Field Description
Group Building blocks for grouping contract lines for products.
Line ID A unique identifier automatically assigned to each contract line. It helps you easily reference, organize, and report on individual line items within a contract. The line ID allows you to:
  • Distinguish between different products within the same contract.

  • Track financial data (such as revenue, cost, or margin) per line item.

  • Reference specific lines in integrations or when using the OData feed for reporting.

Billing

Field Description
Invoice Method Defines how the line is invoiced — manually, as a recurring fixed fee, or on a retainer schedule.
Billing Frequency Reflects the frequency defined on the product: One-Time, Monthly, Quarterly, Yearly, or Usage-Based.
Tax Category The tax rate applied to this line item when invoicing.
GL Name / Article / Item / Service / Product When PSOhub is connected to an accounting system, this field allows you to override the default revenue account and assign the correct GL account for this line.
Tracking Option Optional tracking category for reporting or accounting integration purposes.

Configuration

Field Description
Line Active Controls whether team members can book expenses against this line. Set to inactive to prevent further bookings.
Disable on Budget Reached When enabled, the contract line is automatically deactivated once the budget is fully consumed.
Hide for Guests When enabled, this line is not visible to guest users accessing the project.

How Product Contract Lines Support Financial Management

Product contract lines give Admins, Controllers, and Project Managers a structured way to track product-based revenue and costs within a project.

By linking each line to a Price List, pricing remains consistent across projects. The cost per unit and price per unit values allow PSOhub to calculate estimated and actual margins in real time, giving you an accurate picture of profitability at the line level.

Budget alerts and the disable-on-budget-reached setting help you stay in control of costs without having to monitor each project manually.
