Tasks by Plan

Understand how all tasks are visible by plan

The Tasks by Plan view serves two purposes:

  1. It is designed to represent all tasks assigned to plans across your organization and business units.

  2. It is where you will assign tasks to the project's team members or to a business unit.

Important: Only the security access levels Project Manager, Admin and Controller have permissions to the Task Management overview.

Choose from the menu Plans and Task Management:

In the left-hand menu, under Plan, click Tasks by Plan:

By default, the plan will display all assigned and unassigned tasks by project number (if a plan is linked to a project) and plan name including task total and time effort. Above the task list in the top-right corner is a navigation bar to scroll through the projects list.

In the left-hand pane, filters can be applied to refine the results of the tasks by plan:

Description

Date period

The tasks will be filtered using these date periods based on their due date:

The Custom period will allow you to select a due date from and to:

Business unit

The results will be restricted to resources belonging to their business unit.

It will also restrict the unassigned tasks and only display the tasks identified with that same business unit.

Resource

Restricted to filter by resource name.

Status

The results will be filtered by checking or unchecking task status: To do; In progress and Completed.

Priority

The results will be filtered by checking or unchecking the task priority: n/a; Low; Medium; High.

Other: My plans

By default, this filter is unchecked.

When this field is checked, all tasks belonging to a project where you are the project manager will be displayed.

In this overview, you can create tasks on the fly. In the top-right hand corner, click the Add Task button and define the task.

Assign unassigned tasks and update start/due date

There are two scenarios to assigning unassigned tasks to resources:

  1. A single resource from your project team.

  2. Multiple resources from your project team.

1. A single resource from your project team

To assign an unassigned task to a single resource in your plan, click on the resource circle field and select the resource's name:

Note: While assigning as task, you can also define the Due date. If necessary, the Start date can be defined by clicking on the task name to open the task properties.

2. Multiple resources from your project team

To assign multiple resources to a task, select the task by clicking on the task name. In the Assign to project members drop-down list, select multiple resources:

Note: If necessary, here in the task properties you can define the Start date and Due date.

The newly assigned task will be displayed where the first team member's initials are shown (AJ = Angie Jolie) and the additional members are indicated with a number, representing the number of multiple resources:

The assigned tasks will also appear in the Tasks by Resource view, under the resource's name.

View the task in the project's plan

In the Tasks by Plan view, you can click on the task's project number and name, where you will be directed to the project's plan. Here, you can work immediately in the project's plan using the various views and filters:
