How to book your own absence in PSOhub

Learn how to log holidays, absences, and public holidays in My Scheduler so your team always has an accurate view of your availability.

Objective

This article explains how to use My Scheduler in PSOhub to book your own absence, including holidays, sick days, and public holidays. Logging your absence in My Scheduler gives project managers and team leads an accurate view of resource availability for planning purposes.

Prerequisites

You must have an active PSOhub user account.

Steps

Book an absence

  1. Navigate to Time & Expenses in the top menu and select My Scheduler.

  3. Click Create in the top-right corner, or click directly on the day you want to book.
  4. The New event panel opens. Enter a name for the event in the Subject field.
  5. Set the Start date and time for your absence.
  6. Set the End date and time for your absence.
  7. Select the event type from the Type dropdown:
    • Absence — for sick days or unplanned time off
    • Holiday — for planned annual leave or vacation
    • Public Holiday — for nationally recognized public holidays
    • Project — for project-related time blocks (see Book time in My Scheduler)
  8. Enter the number of hours you will be absent in the Working hours absent field.
  9. Optionally, add any relevant notes in the Event Details field.

  10. Click Save. The event appears on your calendar.

📌 Note: For Project events only, you can click Save & Send Invite instead. This sends a                            calendar invite with an .ics file to your email, which can be added to Outlook or                          Google Calendar.

Your absence is saved and appears in your My Scheduler calendar. Project managers and team leads can now see your availability when planning resources and scheduling work.

If PSOhub is integrated with your Outlook or Google Calendar, Project events are also visible in your Timesheet Calendar and hours are automatically logged against the linked project, absence, or holiday.

Troubleshooting

My absence does not appear in the calendar after saving.
Refresh the page and confirm you are viewing the correct month. If the event is still missing, check that the Start date falls within the currently displayed period.

The Working hours absent field is showing 0 and I cannot change it.
Ensure the Type is set to Absence, Holiday, or Public Holiday. This field is not available for Project events.

I sent a Save & Send Invite for a Project event but no email arrived.
Check your spam or junk folder. If the email is not there, confirm with your administrator that your email address is correctly configured in your PSOhub user profile.

Frequently Asked Questions

Does booking an absence in My Scheduler automatically approve my time off?
No. My Scheduler is a visibility tool for scheduling and planning purposes. It does not connect to an HR or leave approval system. For formal leave requests, follow your organization's usual process.

Will my absence show up in the resource planning view for my project manager?
Yes. When your absence is saved in My Scheduler, it is visible to project managers and team leads when reviewing resource availability and capacity.

Can I book a multi-day absence in a single event?
Yes. Set the Start date to the first day of your absence and the End date to the last day. The event will span the full range on your calendar.

Does My Scheduler sync with my Outlook or Google Calendar automatically?
Only Project events can be synced via the Save & Send Invite option, which sends an .ics file to your email. Absence, Holiday, and Public Holiday events do not generate calendar invites.
