  • Learn how contacts relate to companies, projects, quotes, and invoices
  • Identify the different types of contacts and when to use them
  • Understand how contacts are created and managed within your workflow

Introduction

In PSOhub, a contact represents an individual person associated with a company or project.

Contacts sit at the center of your customer relationships. They connect the people you interact with to the commercial and operational work you manage in PSOhub — including quotes, projects, and invoices.

You typically work with contacts as part of a company, but PSOhub also supports working directly with individuals when needed.

How Contacts Fit into Your Workflow

Contacts are used throughout the PSOhub workflow to link people to your work.

  • Quotes — Assign a contact as the primary recipient
  • Projects — Define the main point of contact
  • Invoices — Address invoices to the correct person
  • Activities — Track communication such as emails, calls, and meetings

Types of Contacts

PSOhub supports two types of contacts, depending on how you manage your clients.

Business contacts
Linked to a company in PSOhub.
Use this for most B2B relationships.

Individual contacts
Not linked to a company.
Use this when working directly with a person (for example, private clients).

Choose the contact type based on how your customer relationship is structured.

How Contacts are Created

Contacts can be added to PSOhub in multiple ways, depending on your workflow.

Automatically from your CRM at project or quote creation
When you create a quote or project from a connected CRM (such as HubSpot, Salesforce, or Microsoft Dynamics 365), contacts associated with the deal or opportunity are automatically synced into PSOhub.

Import from your CRM
Once your CRM is connected, you can manually import contacts directly into PSOhub at any time, without needing to create a quote or project first.

Import via CSV file
You can bulk-import contacts into PSOhub by uploading a CSV file. This is useful when migrating existing customer data or adding large numbers of contacts in one step.

Create manually in PSOhub
You can create a contact directly in PSOhub at any time via the Customers menu. This is useful when working with clients who are not managed through a CRM, or when adding a contact independently of any import or deal.

Contact Details and Related Information

A contact record gives you a complete view of a person and their relationship with your business.

Contact details
Includes name, email, phone number, job title, and tags.

Associated work
Shows all related quotes, projects, and invoices.

Company information
Displays the linked company (if applicable) and its related records.

Activity history
Tracks communication such as emails, notes, calls, and meetings.

This structure helps you quickly understand both the person and their involvement across your projects.

Contacts and Stakeholders

In addition to primary contacts, you can add contacts as stakeholders on a project.

Stakeholders allow you to:

  • Include additional contacts from the same or different companies
  • Assign multiple invoice recipients
  • Manage more complex customer structures

This is especially useful when working with multiple decision-makers or external partners.
