How to Create a Service Project in PSOhub

Learn how to create a Service Project in PSOhub and track time against HubSpot tickets

Objective

This article explains how to create a Service Project in PSOhub and track time against the HubSpot tickets linked to it.

Prerequisites

 You have Admin, Controller, or Project Manager access in PSOhub

 Your HubSpot account is connected to PSOhub

 The customer company exists in HubSpot and has been pushed into PSOhub

⚠️ Important: If your PSOhub account was created before 2 March 2022, you must                        reconnect with HubSpot before proceeding. This is a one-off action.

Create a Service Project

  1. Navigate to Projects in the main menu.
  2. Click Create.
  3. Select the PSOhub tile to create a project from a company that has been pushed from HubSpot into PSOhub.
  4. Complete the Project Quick Setup wizard.
  5. In the Service Project field, select Yes.

💡 Tip: Consider creating a dedicated project type for support ticket projects. This allows          you to filter and report on these projects separately from other project types.

        6.    In the second step of the wizard, select a contract template if you want to invoice support                      tickets separately. Leave this field blank if the tickets will fall under the customer's existing                      service agreement.

       7.     In the third step, leave the Team section empty. Team members are added to the project                         automatically when they log time on a linked ticket in HubSpot.

📌 Note: Any user who logs time on a HubSpot ticket must already exist as a user in                        PSOhub.

        8.    Click Create.

Result

The Service Project is created. If you selected a contract template, it appears above the 90 | Tickets contract group in the project.

If no contract template was selected, only the 90 | Tickets group appears.

⚠️ Important: The 90 | Tickets contract group is specific to Service Projects and cannot              be removed or edited.

Each HubSpot ticket linked to this project automatically generates a contract line under 90 | Tickets. Any time logged against a ticket is recorded at the contract line level.

Troubleshooting

The 90 | Tickets contract group is missing after project creation.
Confirm that Service Project was set to Yes during the Quick Setup wizard. This setting cannot be changed after the project is created. If it was left as No, create a new project with the correct setting.

A team member's logged time is not appearing in PSOhub.
The user logging time in HubSpot must exist as a user in PSOhub. Ask your Admin to add the user before attempting to log time.

A HubSpot ticket is not generating a contract line under 90 | Tickets.
Confirm the ticket was raised in HubSpot after the Service Project was created and that the company is correctly linked to the project. Tickets raised before the project existed may not sync automatically.

Can I add a contract template to a Service Project after it has been created?
Yes. You can add a contract template to an existing Service Project from the project's contract section. The 90 | Tickets group remains in place alongside the template you add.

Can I remove or rename the 90 | Tickets contract group?
No. The 90 | Tickets contract group is created automatically by PSOhub and cannot be removed or edited.

Do I need to manually add team members to the Service Project?
No. When a PSOhub user logs time on a linked HubSpot ticket, they are added to the project team automatically.

Can a Service Project be used without HubSpot?
Service Projects are designed specifically for use with HubSpot tickets. The 90 | Tickets contract group is only populated when tickets are raised and synced from HubSpot.
