Objective
This article explains how to use the Project WBS import to bring detailed Work Breakdown Structure (WBS) data into PSOhub, including contract lines, quantity, price per unit, and linked products. The WBS import includes data validation steps to ensure accuracy before projects are created.
Prerequisites
⚠️ Important: Only the official PSOhub Project Import WBS template is supported. Do not modify the column structure or sheet names.
Key Rules and Validation Requirements
Before preparing your import file, note the following:
- Supported contract line type: Only Product contract lines are supported in the WBS import.
- Database matching: Contract template names and contract line names must match existing entries in PSOhub exactly.
- Product price list: The price list referenced in the file must match the price list linked to the contract line in PSOhub.
- Project consistency: For each project, the values for Business Unit, Currency, Customer Name, Project Manager, Contract Template, Invoice Contact, Date, Stage, and Type must be consistent across all rows belonging to that project.
- Billing Frequency Start Date: Only allowed for recurring products.
- New customers and contacts: PSOhub automatically creates new company or contact records if they do not yet exist in the database.
- Batch size: For optimal performance, import a maximum of 20 projects per batch. If you need to import more than 20 projects, split the data into smaller batches and process each batch separately.
Steps
Step 1: Download the Import Template
Download the official PSOhub Project Import WBS Excel template and complete it with your project data before starting the import.
⚠️ Important: Only this template is supported. Do not modify the column structure or s sheet names.
Step 2: Open the import wizard
- Navigate to Project Management from the main menu.
- Click Import in the top-right corner of the Projects overview.
- The Select import type dialog opens with two options:

| Project WBS | Import projects with detailed Work Breakdown Structures (WBS) and contract lines. Includes data validation steps. |
4. Click Project WBS.
Step 3: Upload Your File
The Import Projects Wizard opens.
5. Click here in the wizard description to download the Excel template if you have not already done so.
6. Drag and drop your completed Excel file into the upload area, or click to browse and select the file.
📌 Note: The file must be an XLSX file, up to 5 MB.
Step 4: Validate Your Data
7. Click Step 2: Validate data. PSOhub checks the uploaded file for errors.
8. If errors are found, a Warning message appears. Click OK.
9. Review the Errors column and the error summary displayed in the wizard.
10. Correct the errors in your Excel file and click Re-upload document (shown in red) to upload the corrected file.
11. Repeat the validation until no errors are detected. When validation passes, a confirmation message appears. Click OK.
Step 5: Start the Import
12. Click Step 3: Start Import.The project data loads and displays each project's name, total contract value, business unit, and contract template name. Use the pagination at the bottom of the screen to review each project when importing multiple projects.
Step 6: Validate Projects
13. Click Step 4: Validate project.Each project is reviewed individually before the final import.
14. Review the validated projects. The total number of successfully validated projects is displayed at the bottom of the screen.
💡 Tip: While reviewing validated projects, you can edit the Contract Line Template, Contract Line Description, QTY, Unit Price, and Cost Price fields directly in the table before importing.
Step 7: Import all Projects
15. Click Step 5: Import all projects.
16. A confirmation dialog appears. Click OK to proceed with creating the projects.
Result
PSOhub begins creating the projects in the background.
You will receive two emails:
- A first email confirming that project creation has started.
- A second email confirming that all projects have been created successfully.
Once you receive the completion email, open each project in the Projects overview to verify that all contract values are correct.
⚠️ Important: Always verify contract values after import. For best results, import a maximum of 20 projects per batch.
