Approval by Project Manager: How to Review and Approve Hours

Learn how to review, approve, modify, and reject submitted hours as a project manager in PSOhub

Objective

This article explains how a project manager can approve, reject, or modify submitted hours in PSOhub as part of the time approval workflow.

Prerequisites

You must have the Project Manager access level in PSOhub.

You must be defined as the project manager on the project for which hours are being               approved.

Project Manager Approval for Hours must be activated for your business unit.

 Team members must have submitted hours for approval.

Access Approval By Project Manager

Steps

  1. Navigate to Time & Expenses and select Approval By Project Manager
  2. In the project dropdown at the top-left, select the project you want to review. The dropdown lists all projects that currently have hours awaiting your approval. 
  3. Review the time entries listed under each contract line. Each contract line shows the Budget, Used, and Remaining hours, along with a status indicator:
    • 🟢 Green — hours logged are within budget
    • 🔴 Red — hours logged are over budget

You can approve, reject or modify the entries following the steps below.

⚠️ Important: Once hours are approved, only Admin users can edit them. Project                            managers and team members cannot make further changes.

Auto Approve Hours Within Budget

Use this method when all hours on a contract line are within budget and do not require individual review.

Steps

  1. Click Auto Approve at the top-right of the page.
  2. Review the confirmation message and click Proceed.
  3. The approved hours are automatically approved.

💡 Tip: Use Auto Approve when you trust that the contract line is on track and want to                  clear approvals quickly without checking each entry.

Manually Approve Hours

Use this method when you want to review individual entries before approving.

Steps

  1. Select the checkbox next to each time entry you want to approve.
  2. Click Approve.
  3. The selected time entries are now approved.

Modify A Time Entry Before Approval

You can correct a submitted entry before approving it, for example to adjust the number of hours, the description, or the contract line.

Steps

  1. Click the time entry in the approval list. The Edit registration window opens.
  2. Update the relevant fields.
  3. Click Save.

Reject A Time Entry

Use this option when an entry is incorrect and the team member needs to correct and resubmit it.

Steps

  1. Click Reject next to the relevant time entry. The Approval Reject hours window opens.
  2. Select the reason for rejecting the entry. Available reasons are:
    • Wrong project
    • Wrong contract line
    • Wrong role
    • Hours over budget
    • Too many hours
    • Missing description
    • Other
  3. Click Send.

The rejected entry remains visible in the approval view with the reason displayed. The team member receives an automatic email notification with a link to the entry. They can then correct it in the General tab and resubmit.

View Previously Approved Hours

By default, the approval view only shows entries awaiting approval. To include hours you have already approved, apply a filter.

Steps

  1. Click Filters at the top-right of the page.
  2. Enable Include approved hours.
  3. Approved entries appear in the list with the PM column checked.

💡 Tip: To remove the filter, click the x on the Include approved chip next to Filters.

Result

Approved hours are passed to the next step in the time approval workflow. If Team Lead approval is also active for the team member's business unit, the entry moves to the team lead for final review. If only Project Manager approval is required, the hours become available for invoicing immediately after your approval.

 📌 Note: Once a time entry has been approved, it becomes locked for editing by                               everyone except Admin and Controller users.
