This article explains how time approval works in PSOhub, including the two levels of approval, the sequence they follow, and how approval affects invoicing and time entry locking.
Introduction
Time approval in PSOhub gives your organization control over which hours are validated before they can be invoiced. By requiring one or both levels of approval, you ensure that logged time is reviewed and confirmed by the right people before it becomes billable.
When time approval is active in your organization, submitted hours must be approved before they appear in the invoicing workflow. This helps maintain accuracy, prevent unauthorized time entries, and support financial oversight across projects and business units.
⚠️ Important: Time approval applies to Time & Materials and Retainer contract lines only. Other line types, including Fixed Fee, can be invoiced regardless of approval status.
Two levels of approval
PSOhub supports two independent levels of time approval. You can activate one or both, depending on how your organization is structured.
Project Manager Approval
A user must meet both conditions to approve hours at this level:
- They have the Project Manager access level in PSOhub.
- They are defined as a project manager (primary or backup) on the relevant project.
Project managers can only approve hours booked for their own projects.
💡 Tip: Project Manager approval is based on the project's business unit setting. This means that even if a team member belongs to a different business unit, they will still follow the approval rules of the project they are logging hours on.
Team Lead Approval
A user must meet both conditions to approve hours at this level:
- They have the Controller or Admin access level in PSOhub.
- They are defined as a team lead in a business unit of the Team Member booking hours.
Team leads can approve hours for all resources within their business unit, regardless of which project the hours are booked to.
💡 Tip: Team Lead approval is based on the team member's business unit setting. This means that even if the project belongs to a different business unit, the team member's own business unit determines whether their hours need Team Lead approval.
The Time Approval workflow
When time approval is enabled, every time entry follows the sequence below before it becomes available for billing.
- The team member submits their time entry for approval.
- The Project Manager reviews the entry. They can approve or reject it.
- If approved, the entry is automatically sent to the Team Lead of the team member's business unit for the second level of approval.
- If the Team Lead approves the entry, it becomes locked for editing and is made available for billing.
- If either the Project Manager or the Team Lead rejects the entry, it is returned to the team member to correct and resubmit.
📌 Note: Not all organizations require both levels of approval. Each business unit can be configured with Project Manager approval only, Team Lead approval only, or both. The workflow above reflects the full two-level process.
What happens without approval
If time approval is not enabled for a business unit, hours submitted by its members are immediately available for invoicing without requiring any review.
