Objective

This article explains how to run a short, friendly business unit data quality check with Claude or ChatGPT. It shows what is already in good shape and what to fill in, so the deeper recipes give the best answers.

Prerequisites

The MCP connector is active on your organization.
An Admin has enabled the MCP connector for your organization.

Your AI assistant is connected.
Your AI assistant (Claude or ChatGPT) should be connected to PSOhub.
See How to Connect Claude to PSOhub or How to Connect ChatGPT to PSOhub.

Steps

  1. Copy the prompt exactly as written:
Review all active projects of [project manager] for my next one-to-one with them.

What goes well: projects within budget, milestones met, invoicing up to date. Name the projects.

Where it pinches, worst first: contract lines over budget, running projects without hours in [14] days, WIP piling up, milestones or end dates that moved, and planned work with nobody on it. For each: the signal, what it is worth, and the question to ask.

Their portfolio in context: number of projects, total value, the mix of project types, and whether their budgeted hours usually match the hours used.

End with the three projects to discuss and the decision each one needs. Say what this does not show: how difficult the customer is, how well the work was sold, and who they had on the team.

Show this as a dashboard: a header with the scope and date, a one-line verdict with three to five key figures, the findings ranked worst first with the reason and the amount, a table with the rest, what this answer could not see, and three actions with an owner. Use a single HTML page if you can show one, otherwise the same blocks as formatted text. Link every project, customer, person and invoice to PSOhub.

  2. Replace [project manager] with the name of the project manager.
  3. Optional: change [14] to any number of days.
  4. Paste the prompt into Claude or ChatGPT and send it.

Result

You get a dashboard with what goes well, what pinches with the question to ask about each, the portfolio in context, and the three projects to discuss. It ends with what the data cannot show.

💡 Tip: Ask a follow-up question, for example:

  • Do the same for another project manager.
  • Which of these projects would I move?
  • What changed since our last review?
