Objectives

This article explains how to find the causes of a project budget overrun with Claude or ChatGPT. The recipe checks the usual causes against your data and ranks the ones that are true.

Prerequisites

The MCP connector is active on your organization.
An Admin has enabled the MCP connector for your organization.

Your AI assistant is connected.
Your AI assistant (Claude or ChatGPT) should be connected to PSOhub.
See How to Connect Claude to PSOhub or How to Connect ChatGPT to PSOhub.

Steps

  1. Copy the prompt exactly as written:
  2.    Why is my project [project name] running over?

Check which of these are true, with numbers: contract lines over their budget, tasks that took far more hours than planned, hours booked on nothing planned, the rate charged against the agreed rate, more expensive people doing the work than the budget assumed, and the same task being worked on again and again.

Rank the causes by hours and money. Then say how much of it we can still invoice to the customer.

Show this as a dashboard: a header with the scope and date, a one-line verdict with three to five key figures, the findings ranked worst first with the reason and the amount, a table with the rest, what this answer could not see, and three actions with an owner. Use a single HTML page if you can show one, otherwise the same blocks as formatted text. Link every project, customer, person and invoice to PSOhub.

  3. Replace [project name] with your own project.
  4. Paste the prompt into Claude or ChatGPT and send it.

📌 Note: The project needs budgets on its contract lines and planned hours on its tasks.

Result

You get a dashboard with the causes that are true for this project, ranked by hours and money. It also shows how much of the overrun you can still invoice to the customer.

💡 Tip: Ask a follow-up question, for example:

  • Do other projects of this type show the same pattern?
  • What should we have quoted, based on what it actually took?
  • Draft a change request for the part that was out of scope.
