Objective
This article explains what Default Teams are in PSOhub, who can use them, and what happens when you add a Default Team to a project.
Introduction
Many projects are staffed by the same group of people. Adding each person, role and rate by hand every time takes effort and invites mistakes.
Default Teams solve this. A Default Team is a saved set of people, each with a project role, a selling rate, a cost rate and an optional Backup PM setting. You add the whole team to a project in one go.
You can add a Default Team to an existing project or while you create a new project. After that, the project team works exactly like a team you built with Add Member(s).
What a Default Team contains
Each Default Team has a few basic details and a list of members.
| Item | Description |
|---|---|
| Default team name | Required. Each name must be unique within your organization. |
| Rate currency | Required. The single currency the team uses for its roles and rates. |
| Description | Optional. A short explanation of what the team is for. |
| Members | The people in the team. Each member entry combines one person with one project role. |
Each member entry stores its own Selling rate and Cost rate. These rates are filled in from the role, but you can change them for the Default Team. Each entry can also be marked as a Backup PM.
The same person can appear more than once with different roles. Each person-and-role combination counts as one member, so a person with two roles counts as two members.
📌 Note: One person can belong to several Default Teams.
Who can use Default Teams
What you can do depends on your PSOhub access level.
| Action | Admin | Controller | Project Manager | Team Member |
|---|---|---|---|---|
| Create and manage Default Teams in Settings | Yes | Yes | No | No |
| Add a Default Team to an existing project | Yes | Yes | Yes | No |
| Add a Default Team in the new project wizard | Yes | Yes | Yes | No |
📌 Note: Project Managers can add Default Teams to projects they have access to.
Adding a Default Team is an one-time copy
When you add a Default Team to a project, PSOhub copies the eligible members into the project team. The copy uses the selling rates, cost rates and Backup PM settings saved in the Default Team, not the standard role rates.
After the copy, the project and the Default Team are no longer linked:
- Editing, archiving or deleting a Default Team does not change projects it was already added to.
- You can still change rates or remove members on the project afterward.
- The project team does not show which Default Team a member came from.
New members receive the normal "added to project" email and appear in the project activity log, just as they would with Add Member(s).
Each Default Team also shows when it was Last used. This date updates every time the team is added to a project.
Default Teams and Currencies
Each Default Team uses one rate currency. This currency controls which people and projects the team works with:
- Only resources with a role in the team's currency can be added as members.
- A Default Team can only be added to projects in the same currency.
- Rates are never converted with exchange rates.
The currency can't be changed while the Default Team has members. To use the same people in another currency, create a separate Default Team in that currency.
💡 Tip: Add the currency to the team name, for example "Brand Consulting (USD)", so teams are easy to tell apart.
Backup Project Managers in Default Teams
A Default Team can mark members as Backup PM. Only users with Admin, Controller or Project Manager access can be a Backup PM. This depends on the user's access level, not on a project role named "Project Manager".
When a Default Team is added to a project, the project's own project manager is never set as Backup PM. All other Backup PM settings are copied to the project.
How existing and skipped members are handled
Before you add a Default Team, PSOhub shows a preview of who will be added and who will be skipped.
| Scenario | What happens |
|---|---|
| The same person with the same role is already in the project | The member is skipped. The existing rates on the project stay unchanged. |
| The same person is in the project with a different role | The member is added with the new role. The existing role stays. |
| The role is no longer assigned to the person | The member is skipped and shown as Role no longer valid. |
| The user is inactive | The member is not added. The member stays in the Default Team. |
| Two overlapping Default Teams are added | No duplicate team members are created. |
Active and archived Default Teams
Archiving a Default Team hides it from the project screens without deleting it. Archived teams stay visible in Settings under the Archived status filter.
You can restore an archived Default Team at any time to make it available on projects again. Deleting a Default Team removes it permanently.
