Timesheet Calendar: Understanding the Layout

Learn what each part of the Timesheet Calendar shows and how to navigate it to track your weekly hours in PSOhub.

Understand the layout of the Timesheet Calendar in PSOhub, including what each section displays and what actions are available to you.

Introduction

The Timesheet Calendar in PSOhub is your personal workspace for logging and reviewing time entries across the working week. It gives you an at-a-glance view of your total hours, utilization, and daily schedule — all in one place.

Understanding the layout helps you navigate the calendar confidently, log time accurately, and keep your weekly hours up to date.

Access the Timesheet Calendar

Navigate to the Time & Expenses menu and select My Timesheet.

From there, choose the Calendar tab.

See your weekly progress at a glance

In the top-left area of the Timesheet Calendar, two indicators show your progress for the current week:

Field Description Type/Values Notes
Total Hours Hours logged this week versus the user's weekly target. Hours (e.g. 0.00 / 40.00) The weekly target is defined at user level in User Management.
Utilization The percentage of billable hours logged this week. Calculated as time booked on external projects divided by the user's weekly hour target. Percentage (e.g. 0%) Internal projects, vacation, and absence are excluded from this calculation.

 📌 Note: Utilization only reflects time booked on projects and internal projects. Non-                     billable time such as Absence or Holiday are excluded from the calculation.

Move between weeks to review or update your time

The center of the header shows the current week number and date range.

Use the left and right arrows to navigate to previous or future weeks and review or update time entries at any point.

 💡 Tip: You can navigate to previous weeks to review old hours and use the Copy                                Previous Week function to copy the hours into the current week.

Switch views and log time quickly

The top-right area gives you direct access to the main calendar controls.

Sync your Google or Outlook calendar

If you have connected your Google or Outlook calendar to PSOhub, the toolbar displays your sync status and gives you tools to manage imported calendar entries.

Option Description Type/Values Notes
Smart Calendar Active Indicates that your Google or Outlook calendar is connected and syncing with the timesheet. Badge / Status indicator Only visible when a calendar integration is active.
Retrieve Calendar Manually sync your Outlook or Google calendar entries into the current or past week. Button Use this to pull in past entries that were not automatically synced.
Clear Unassigned Items Remove synced calendar entries that have not been assigned to a project in PSOhub. Button Only affects unassigned items imported from an external calendar.

 💡 Tip:  Use Retrieve Calendar if calendar entries are missing in PSOhub. This will                           manually sync events from your connected calendar.

 💡 Tip:  Use Clear Unassigned Items to clean up calendar events that are not related to             time tracking in PSOhub — such as personal appointments or internal meetings that               were pulled in from your calendar but do not need to be logged.

Switch between work week and full week view

By default, the Timesheet Calendar displays Monday to Friday. You can expand the view to include weekends if your organization tracks time on those days.

Work Week Display Monday to Friday only. Toggle Default view.
Full Week Expand the view to include Saturday and Sunday, allowing time to be logged on weekends. Toggle

Book time directly in the Timesheet Calendar

The main area of the screen displays a weekly grid with time slots running from 12am to 11:59pm. Each column represents a day of the week and the current day is highlighted.

There are two ways to create a time entry directly from the grid:

  • Click and drag on any time slot to create an entry for that block of time
  • Click Log Time in the top-right corner to manually log a time entry
