Objectives
This article explains how to find Capacity Report gaps with Claude or ChatGPT. The Capacity Report shows what is in the planning, and this recipe finds what is missing from it, or should not be in it, and how that changes the picture.
Prerequisites
The MCP connector is active on your organization.
An Admin has enabled the MCP connector for your organization.
Your AI assistant is connected.
Your AI assistant (Claude or ChatGPT) should be connected to PSOhub.
See How to Connect Claude to PSOhub or How to Connect ChatGPT to PSOhub.
Steps
- Copy the prompt exactly as written:
-
What is our Capacity Report not seeing?
Find: projects with hours booked but no planning, planning after a project's end date or on closed projects, projects not yet won whose planned start date has passed but that still carry planning, planning on people who have left, and planning without a role.
For each: how many hours, and whether it makes us look more or less available than we are. End with the one fix that makes the Capacity Report most accurate.
Show this as a dashboard: a header with the scope and date, a one-line verdict with three to five key figures, the findings ranked worst first with the reason and the amount, a table with the rest, what this answer could not see, and three actions with an owner. Use a single HTML page if you can show one, otherwise the same blocks as formatted text. Link every project, customer, person and invoice to PSOhub. - Paste the prompt into Claude or ChatGPT and send it.
📌 Note: Run Recipe: Is our planning ready for deeper analysis? first.
Result
You get a dashboard with each gap in your planning, the hours involved, and whether it makes you look more or less available than you are. It ends with the one fix that has the biggest effect on the Capacity Report.
💡 Tip: Ask a follow-up question, for example:
- Which pre-sales projects should be closed?
- How does the picture change if I leave those out?
- Who is planned on projects that have ended?
