How to Retrieve Planned Hours in the Timesheet Grid

Learn how to use the Retrieve Planning feature in PSOhub to pull your planned hours into the Timesheet Grid and book them as time entries

Objective

Use the Retrieve Planning feature in the PSOhub Timesheet Grid to pull your planned hours from active projects into the current week and save them as time entries.

Prerequisites

You have been assigned to one or more active projects in PSOhub

A project manager or admin has planned hours against your contract lines using                        Resource Planning

The projects you want to retrieve hours from are in the Active stage

Steps

  1. Navigate to Time & Expenses > My Timesheet > Grid view.
  2. Check that the correct week is displayed. Use the left or right arrow to navigate to a different week if needed.
  3. Click the Retrieve Planning icon in the top-right toolbar.
  4. The This weeks planning modal opens. Review the table showing the planned hours that will be retrieved, each row displays the date, planned hours, and project name.
  5. Click Retrieve.

⚠️ Important: The Timesheet Grid uses Auto-Save. There is no Save button, entries are                saved automatically once retrieved.

Result

Your planned hours are populated in the Timesheet Grid. Each active project appears as a row, with its contract line, assigned role, and daily hour values filled in automatically. You can adjust any entry directly in the grid, changes are saved automatically.

 📌 Note: If no hours appear in the modal, confirm that hours have been planned for you               in Resource Planning on an active project for the current week.

Troubleshooting

No hours appear after retrieval
Confirm that a project manager has planned hours for you in Resource Planning for the selected week. Also check that the projects are in the Active stage. Proposal, Archived, and Closed projects are excluded from retrieval.

A contract line appears twice
If you already booked hours against a contract line before triggering Retrieve Planning, the system adds a new line alongside the existing entry rather than overwriting it. This is expected behaviour.

Retrieve Planning pulls the same hours again
If you trigger Retrieve Planning more than once for the same week, the same planned hours are retrieved each time. Existing entries are not overwritten or modified.

Frequently Asked Questions

Can I retrieve planned hours for a past week?
Yes. Use the navigation arrows to move to the relevant week before clicking Retrieve Planning.

What happens if task effort has been pushed into Resource Planning?
Task effort pushed into Resource Planning at the monthly level only is not currently supported for retrieval. Only hours planned directly at the contract line level are included.

Can I edit the retrieved hours before they are saved?
Yes. Entries appear in the Timesheet Grid and can be adjusted. Changes are saved automatically, there is no Save button.
